Setting up a new employee's accounts and equipment should take about half an hour once everything needed is actually in place. The request to "set up IT" for a new employee shows up the morning they start, sometimes after. There's no laptop staged, so someone scrambles to find one, wipe it, and load software while the new hire waits around with nothing to do. Email and system access get requested piecemeal - a manager asks for one thing, forgets another, and the new employee spends their first two days locked out of half of what they need. Access requests bounce between whoever's supposed to approve them, sitting in inboxes because nobody flagged them as urgent in advance.

What it looks like done right

A documented onboarding checklist, built once and reused every time, changes the whole picture. Manager and HR know to flag a start date with enough lead time to prep a laptop and request access in advance. Every account and system a role needs gets listed out ahead of time instead of getting reconstructed from memory. And by the time someone walks in on day one, their equipment is sitting on their desk, their accounts are active, and they're working within the first half hour instead of the first three days.
