A softphone app turns your cell phone into an extension of your business phone system - make and receive calls from your office number, keep your personal number private, and stay reachable on a job site, on the road, or working from home.
What a softphone app does
A softphone is an app installed on a smartphone (or laptop) that connects to your business phone system over the internet, functioning as a fully working extension - the same way a desk phone does. Calls placed from the app show your business number as the caller ID, not the employee's personal cell number. Incoming calls to that extension ring the app the same way they'd ring a desk phone, and can be transferred, put on hold, or added to a conference the same way. No extra hardware is required - it runs on a phone your team already carries.
Because it's tied to the cloud phone system rather than a physical location, the same extension can ring a desk phone and a mobile app simultaneously, or shift entirely to mobile when someone's away from their desk. Voicemail, call history, and directory access are typically shared across whichever device someone is using at the moment.
Why this solves a real problem
Without a mobile app tied to the business system, employees who need to be reachable outside the office end up giving out their personal cell number - which means clients start calling a personal phone directly, at any hour, forever, with no way to route that call through the business's normal processes. It also means that when that employee changes roles, leaves the company, or is simply on vacation, there's no way to redirect those calls; they just go to a phone that isn't theirs to manage anymore.
It also solves the reverse problem: businesses with field staff, multiple locations, or a hybrid remote/in-office team often struggle to make everyone reachable at a single number. A customer calling the main line has no way to reach someone who happens to be at a job site rather than a desk. With a mobile app extension, that person is reachable at the exact same number and extension whether they're in the building or forty miles away.
How we roll it out
We provision the app on each employee's device with their extension already configured, test call quality on cellular and Wi-Fi so there are no surprises once it's in daily use, and set expectations around when a call should ring the mobile app versus a desk phone (many businesses want both to ring simultaneously; some prefer the mobile app to only activate after a set number of rings on the desk phone, or only during specific hours). We also make sure caller ID privacy works as expected - the point of the whole feature is that a personal number stays personal, and we verify that before it goes live, not after an employee's cell number ends up in a client's phone by accident.
